Collections Care, Management and Access fonds

Fonds consists of records generated by the Collections Care, Management (CCMA) department at the Museum of Anthropology. These records include administrative records and planning material that document the work of the three units within CCMA: Collections, Conservation, and the Audrey & Harry Hawthorn Library and Archives. Record types include policies, loan documentation, acquisition documentation, object evaluations and photographs, conservation notes, teaching and special project files, exhibit planning material, correspondence, budget reports, and meeting minutes.

The fonds is divided into four sous-fonds, one for each of the three units within CCMA, as well as a sous-fonds for general CCMA administrative records:

  1. Collections
  2. Conservation
  3. Audrey & Harry Hawthorn Library and Archives
  4. CCMA Administration

Because of changes to the organization of MOA over the years, there are some overlaps in these functions, especially with older material. For example, there are likely some records relevant to conservation in the Collections sous-fonds and vice-versa.

Collections

Sous-fonds consists of records documenting the work of the Collections unit at the Museum of Anthropology (MOA). Material includes object acquisition and loan records, in-house and traveling exhibition planning documents, collection images, artist and object research, contracts, permission forms, correspondence, insurance documents and other administrative records. Records of this sous-fonds are arranged into the following series:

Renewing MOA’s Class ‘A’ Status

File contains records related to the renovation of the Category ‘A’ designation status of the Museum of Anthropology that took place from 2000 to 2004. Records in file include correspondence, forms and assessments (fire protection, collections preservation, security, and security protection), memorandums, and a draft of the application for indemnity forms

Teaching and Internship Records

Subseries consists of records related to courses taught by Clavir at the Museum of Anthropology, her training of conservation interns which was primarily funded through the Museum Assistance Programme (MAP), and to Clavir’s participation in the Aboriginal Cultural Stewardship Program. The subseries includes: course outlines, teaching notes, correspondence, memoranda, reports, application forms, cost summaries, funding contracts, a published discussion paper, and a program module.

The subseries is arranged in the following three sub sub subseries:
a: General teaching records
b: Museum Assistance Programme (MAP)
c: Aboriginal Cultural Stewardship Program

Building Records

Subseries consists of records related to the MOA facilities and services including Conservation Laboratory construction, expansion and renovations, from initial proposal through design and development, including a large amount of records relating to the development of visible storage. Records also relate to building maintenance operations, earthquake mitigation, museum environmental concerns, and building security. Subseries consists of correspondence and memoranda, reports, photographs, blueline prints and other architectural drawings, handwritten notes, photomicroscopic images and negatives, and published materials.

The subseries is arranged in the following two sub subseries:

Talhtan Collection Slides, Burned to CD, Dec 2002

File contains records related to the Tahltan Research Project. The Tahltan Research Project’s purpose was to collect and preserve knowledge from Tahltan Elders and community members about Tahltan objects and historical photographs in MOA’s collection. File contains 54 colour slides with Tahltan objects from MOA’s collection

Miriam Clavir

Series consists of records associated with the functions and responsibilities assigned to Miriam Clavir in her role as the conservator of the Museum of Anthropology, and/or are related to the Conservation Area, as well as to her teaching activities. Included are: correspondence, memoranda, reports (published and unpublished), evaluations, building (architectural) plans, photographs, slides, e-mails, facsimiles, computer disks, and audio cassettes.

The series is arranged in the following six subseries:

Tahltan Project MOA Alone - 2001

File contains records related to the Tahltan Research Project. The Tahltan Research Project’s purpose was to collect and preserve knowledge from Tahltan Elders and community members about Tahltan objects and historical photographs in MOA’s collection. File contains correspondence, consent forms, memorandums, MOA’s object records, transcripts of interviews and visits from the Talhtan Community to MOA, travel itineraries, and 42 colour slides of photographs from visits to the Tahltan Community. File also contains a consent form for the Coast Salish Basket Documentation Project

Conservation

Sous-fonds consists of records documenting the work of the Conservation unit at the Museum of Anthropology (MOA). Material includes correspondence, evaluations, building plans, photographs, slides, reports, teaching material, and other administrative and planning records.

The Conservation sous-fonds is arranged into series based on the records creator/individual Conservators. Because the Conservation unit is minimally staffed, and staff have historically maintained Conservator positions at MOA for many years, the records related to Conservation function are usually connected to single creator. For the smaller portion of the Conservation records that cannot be attributed to a single Conservator, a “General” series has been created.

The Conservation sous-fonds is arranged into the following series:

  1. General
  2. Miriam Clavir

Additional series will likely be added as more Conservation records arrive in the archives.

Museum Assistance Programme (MAP)

Sub subseries consists of records related to Clavir’s training of conservation interns at the Museum of Anthropology. Much of the funding for internships came from the Museum Assistance Programme (MAP) which was established by the former National Museums of Canada (currently supported by the Department of Canadian Heritage). The sub subseries also includes records related to a search for funding through MAP and provincial government sources for a new conservator position, the establishment of a laboratory conservator position (1993), as well as student reports on internships sponsored by both MAP and the Getty Conservation Institute.

Included are: correspondence, memoranda, reports, application forms, cost summaries, funding contracts, handwritten notes, and one published discussion paper to help develop policy for conservation assistance through the Museum Assistance Programme.

Visible Storage

Sub subseries consists of records related to Clavir’s involvement with the visible storage area of the museum, predominantly from a conservation perspective. Most files relate to a new case in the Kwakwaka’wakw area, as it was the end result of a plan to upgrade the entire visible storage area.

Included are: copies of early articles and reports, grant and architect proposals, staff meeting minutes, photographs, and development & working files.

Tahltan Collection Slides

File contains records related to the Tahltan Research Project. The Tahltan Research Project’s purpose was to collect and preserve knowledge from Tahltan Elders and community members about Tahltan objects and historical photographs in MOA’s collection. File contains 71 colour slides with Tahltan objects from MOA’s collection, and location reports for said objects

Repatriation Files

File contains records related to a repatriation of several objects back to the originating community in the Canada. File contains agendas, minutes, and memos from the Repatriation Committee; MOA’s mandates, general principles, and principles regarding requests for the transfer of cultural property; correspondence; agendas, minutes, and memos from meetings with the community; and MOA’s internal records on the object.
