Fonds consists of records generated by the Collections Care, Management (CCMA) department at the Museum of Anthropology. These records include administrative records and planning material that document the work of the three units within CCMA: Collections, Conservation, and the Audrey & Harry Hawthorn Library and Archives. Record types include policies, loan documentation, acquisition documentation, object evaluations and photographs, conservation notes, teaching and special project files, exhibit planning material, correspondence, budget reports, and meeting minutes.

The fonds is divided into four sous-fonds, one for each of the three units within CCMA, as well as a sous-fonds for general CCMA administrative records:

1. Collections
2. Conservation
3. Audrey & Harry Hawthorn Library and Archives
4. CCMA Administration

Because of changes to the organization of MOA over the years, there are some overlaps in these functions, especially with older material. For example, there are likely some records relevant to conservation in the Collections sous-fonds and vice-versa.

Sous-fonds consists of records documenting the work of the Collections unit at the Museum of Anthropology (MOA). Material includes object acquisition and loan records, in-house and traveling exhibition planning documents, collection images, artist and object research, contracts, permission forms, correspondence, insurance documents and other administrative records. Records of this sous-fonds are arranged into the following series:

Subseries consists of records collected or created by Don Bain during the course of his Massive Carvings Documentation Project. This project took place in the early to mid 1990s. The Massive Carvings Documentation Project was intended to compile information directly related to the poles and massive carvings in the Museum of Anthropology (MOA) collection into a set of Totem Pole Files. The Totem Pole Files were intended to be accessible to MOA staff, volunteers, students, and the general public. The subseries is divided into two sub subseries:

a. Totem pole files
b. Working files

Sub subseries contains the Totem Pole Files, as put together by Don Bain. Material in the Totem Pole Files was compiled by Don Bain from the MOA Archives, UBC Special Collections, UBC Library, the Royal British Columbia Museum, the British Columbia Archives, and the Department of Indian Affairs, as well as information from MOA staff. Record types include photocopies of photographs, catalogues, accession files, research files, technical files, historical correspondence, internal memos and reports, and committee meeting minutes. Most records collected by Don Bain date from between 1920 and 1980.

Sub subseries contains Don Bain's working files, used during the course of his Totem Pole Files creation. Record types include notes, photocopies of archival records, and correspondence related to the project.

Series includes records created by Allison Cronin during her time working in Collections at the Museum of Anthropology

Subseries contains records related with administrative tasks of the Collections area

File contains records related to the renovation of the Category ‘A’ designation status of the Museum of Anthropology that took place from 2000 to 2004. Records in file include correspondence, forms and assessments (fire protection, collections preservation, security, and security protection), memorandums, and a draft of the application for indemnity forms

File contains records on a photography and use request of MOA’s objects for a ceremony. File contains forms, correspondence, and catalogue records on the objects

File contains records related to the Asia-Pacific Economic Cooperation (APEC) Summit in November 1997. File contains memorandums on the aftermath of the summit, correspondence, meeting notes in preparation for the event, the UBC-APEC Information Kit, and MOA’s Critical Path

File contains records related to the Imaging Project, a project directed by Skooker Broome to digitize

File contains handwritten notes on meetings about First Nations materials care and handling

File contains handwritten notes from Elisabeth Johnson (Curator of Collections) to MOA’s staff, and a facsimile transmittal sheet

File contains records related to budgeting of the Collections Area at MOA. File contains minutes and handwritten notes from the Collection Meetings and Exec Meetings, correspondence, memorandums, area budgets, and job descriptions

File contains a CD with a digital backup of Allison Cronin's file while working at the Museum of Anthropology
